How to Manage Your Info Marketing Clients Properly

My buddy and I were out for coffee and donuts. We finally had time to meet. He was happy but tired, drinking cup after cup of thick, black coffee to stay awake in between rubbing his eyes.

This guy would have told you that his love of old dancehall, ska, and reggae music wasn’t something that made him especially popular back in high school. After getting a business degree, he found himself working for an ad company just as the Internet was taking off in the 1990s. For some fun, he started a web site devoted to his favorite music. Slowly, a lot of people started contacting him with questions. Did some particular album exist on CD? Where could they get such and such a record? Could he, for a fee, locate and send a particular record? Pretty soon, he was off doing his islands-based music info
marketing, before info marketing was even a title. He has since gotten some great independent success out of this love of his favorite music.

It’s been a trip for him. At one time, people might have labeled my friend something nasty for what he loved. Now he would gladly be called anything if it meant generating more business success. It still really knocks him out just how many people really love this music, and want to listen, study, and preserve it. Just like him.

That’s always been the kicker: there were so many people just like him. He didn’t expect so many. He wasn’t sure where they came from. Maybe they were closet music lovers or folks bored with modern music looking for a change. It really didn’t matter, but this situation presented a problem for him and has for other info marketers, too. How do you deal with so many clients?

When you start off in business, info marketing or otherwise, you know full well that your clients are your bread and butter. The more you have, the more success you can generate for yourself. But if you don’t learn how to manage all of your clients, you can lose them all and obviously you’ll lose your success as well. Right from the get-go, you’ve got to get some client organization going.

Traveling slow or fast, by e-mail or telephone call, clients are going to come to your doorstep, looking for some information. Therefore, you have to be ready to deliver what they want. When a client solicits your business, take down their vital information — e-mail address, phone number, and address. This is for your reference and use, so get it down quick.

Now once you’ve got their info, there’s the matter(s) of how to deal with it. I’ve seen info marketers use two great ways of dealing with client info. Firstly, you could go old-fashioned and get a rolodex or other desk organizer; jot the client’s information down legibly on a piece of paper and store it alphabetically by their last name. If you have to update their address or take a note for them specifically, you have a written entry to do this on. Secondly, you could access your professional e-mail account that you use to send messages to clients and enter the same information into a personal e-mail
file for them. This not only provides a back-up storage for client info, but can be used to send out e-mails to clients in a few mouse clicks. More on that in a second…

More than anything, I’d advise creating a personal file for clients on your electronic hard drive. In the old days, business pros used paper and filing cabinets. These are still pretty good to use, but they take up a lot of space. A good electronic folder can store the clients’ information, copies of their receipts, lists of the products they get regularly, and even a few notes on what sort of material they might enjoy being pitched in the future. Make sure you back it up on another portable or USB drive in case of a computer virus or other technological failure.

To go back to the e-mail listings, this is something you have to really watch and maintain. Client e-mail lists can get pretty big, so you have to make sure your lists are up-to-date and working well. Depending on your list size, you could probably get away with using a regular e-mail listing. If your list numbers get too high, though, think about getting a list service through a server
or Internet provider to help you. Contacting a decent online marketing agency can also get you help and service for this.

On a final note, confidentiality is an absolute must. All of the info you get from clients, all transactions, and all interactions are strictly between you and the client. People living in this digital age have enough worries with identity theft and online security without you allowing access others to their info. Keep clients lists up-to-date, secure, and ready for action. For info marketing, clients are the soul of your business, so treat those souls with respect and professionalism.
